Workforce absenteeism: how to measure it, find patterns and design a response
Lost hours are not enough. Diagnosis must show where the issue concentrates, what precedes it and what the organization can change.
Workforce absenteeism is an operational signal. It may connect to health, safety, workload, shifts, transport, climate, leadership or fragile processes. Measuring it shows impact; segmenting it supports decisions.
How to calculate absenteeism
Use absence hours ÷ scheduled working hours × 100. Hours are more precise across different shifts. Define exactly which categories enter the numerator.
Four indicators, four stories
- Rate: total share of scheduled time not worked.
- Frequency: number of episodes.
- Duration: average hours or days per episode.
- Recurrence and concentration: repeated events and pockets by team, site or shift.
Where to look for patterns
Compare by shift, area, role, site, tenure, weekday, manager and season. Then review possible preceding events such as overtime, schedule changes, incidents, team turnover, climate results and supervisor changes.
